Terms of Service

These Terms of Service ("Terms") govern your use of the HostStock platform ("Service"), operated by HostStock ("we", "us", "our"). By accessing or using the Service, you agree to be bound by these Terms. If you do not agree, please do not use the Service.

1. Service Description

HostStock is a cloud-based inventory management platform designed for short-term rental hosts and property managers. The Service enables users to track consumable inventory, manage stock levels across multiple properties, coordinate with suppliers, and automate restocking workflows.

2. Account Registration

To use HostStock, you must create an account and provide accurate, complete information. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You must notify us immediately of any unauthorised use.

You must be at least 16 years of age to create an account. By registering, you confirm that you meet this age requirement.

3. Subscription and Payments

HostStock offers a free trial period followed by paid subscription plans. By subscribing to a paid plan, you agree to pay the applicable fees as described at the time of purchase. Subscriptions renew automatically unless cancelled before the renewal date.

All fees are quoted in GBP unless otherwise stated. We reserve the right to change our pricing with 30 days' notice. Price changes will not affect your current billing period.

4. User Obligations

When using the Service, you agree to:

  • Provide accurate and truthful information
  • Keep your account credentials secure
  • Comply with all applicable laws and regulations
  • Not use the Service for any unlawful or fraudulent purpose
  • Not attempt to gain unauthorised access to any part of the Service
  • Not interfere with or disrupt the integrity or performance of the Service
  • Not reverse-engineer, decompile, or disassemble any part of the Service

5. Acceptable Use

You must not use the Service to:

  • Upload or transmit viruses, malware, or other malicious code
  • Send unsolicited communications or spam
  • Harvest or collect personal information of other users without consent
  • Impersonate another person or entity
  • Engage in any activity that could damage, disable, or impair the Service
  • Use automated scripts, bots, or scrapers to access the Service without prior written permission

6. Data and Privacy

Your use of the Service is also governed by our Privacy Policy, which explains how we collect, use, and protect your personal data in accordance with the General Data Protection Regulation (GDPR) and the UK Data Protection Act 2018.

You retain ownership of all data you submit to the Service. We do not sell your data to third parties. You may request an export of your data or request account deletion at any time through your account settings.

7. Intellectual Property

The Service, including its design, features, code, and content (excluding user-submitted data), is the property of HostStock and is protected by intellectual property laws. You are granted a limited, non-exclusive, non-transferable licence to use the Service for its intended purpose during your active subscription.

8. Service Availability

We strive to maintain high availability of the Service but do not guarantee uninterrupted access. The Service may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control. We will endeavour to provide advance notice of planned downtime.

9. Limitation of Liability

To the maximum extent permitted by law, HostStock shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or business opportunities, arising out of or in connection with your use of the Service.

Our total aggregate liability for any claims arising from or related to the Service shall not exceed the amount you have paid to us in the twelve (12) months preceding the claim.

Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded or limited by law.

10. Indemnification

You agree to indemnify and hold harmless HostStock, its officers, directors, employees, and agents from any claims, damages, losses, or expenses (including reasonable legal fees) arising out of your use of the Service or violation of these Terms.

11. Termination

You may cancel your account at any time through your account settings or by contacting us. Upon cancellation, your access to paid features will continue until the end of your current billing period.

We may suspend or terminate your access to the Service at any time if you violate these Terms, with or without notice. In the event of termination for cause, no refund will be provided.

Upon account deletion, your data will be retained for a 30-day cooling-off period, after which it will be permanently deleted in accordance with our Privacy Policy and GDPR obligations.

12. Changes to These Terms

We reserve the right to modify these Terms at any time. We will notify you of material changes via email or through an in-app notification at least 30 days before the changes take effect. By continuing to use the Service after changes take effect, you accept the revised Terms.

13. Governing Law and Jurisdiction

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

14. Severability

If any provision of these Terms is found to be invalid or unenforceable, that provision shall be limited or eliminated to the minimum extent necessary, and the remaining provisions shall remain in full force and effect.

15. Entire Agreement

These Terms, together with the Privacy Policy, constitute the entire agreement between you and HostStock regarding your use of the Service and supersede any prior agreements or communications.
